Event Refund & Credit Policy

NAPD Registration & Financial Policy

The National Association for Public Defense (NAPD) is committed to providing high-quality training and networking opportunities. We understand that personal and professional emergencies arise; however, NAPD incurs significant non-refundable costs based on registration numbers. This policy balances the needs of our members with the fiscal responsibility of the association.

Post-Registration Close Fees

Standard registration typically closes 14 days prior to an event. Any requests for registration after this deadline require the explicit approval of the Executive Director or Training Director. 

  • Administrative Surcharge: Should an exception be granted for late entry, an additional processing fee will be applied to the registration to cover expedited venue guarantees, material production, or digital provisioning: 
    • In-Person Events: A $75 surcharge per attendee. 
    • Virtual Events: A $15 surcharge per attendee. 
  • Immediate Payment: Late registrations must be paid in full at the time of approval and are non-refundable.

Processing Fees for Cash Refunds

For cancellations made 31+ days prior to an event, the following administrative fees apply to the cash refund.

  • In-person Events: A flat $50 processing fee will be deducted from the refund total to cover venue-related administrative costs and transaction fees.
  • Virtual Events: A variable fee of 10% of the registration cost will be deducted (not to exceed $25) to cover platform and digital processing costs.

 

Advance & Bulk Purchases

This policy applies to all registration types, including advance purchases and bulk/group registration blocks.

  • Standard Application: Individual registrations within a bulk block are subject to the same sliding scale for credits and refunds.
  • Documented Exceptions: Any variations or alternative terms for large-scale institutional purchases must be agreed upon and documented in writing by NAPD Leadership at the time of the original transaction. in the absence of a signed written addendum, this standard policy shall prevail.
  • The Community: Access to real-time advice and a searchable Member Directory of 25,000+ peers nationwide.

 

Coupon Code Terms of Use (Credits)

For credits issues via a single-use coupon code:

  • Valuation: The code represents the assigned percentage od the original registration fee (50% or 25%)
  • One-Time Use & Forfeiture: Coupon codes are valid for a single transaction only. If the value of the coupon exceeds the cost of the new registration, any remaining balance is forfeited and cannot be applied to a future transaction.
  • Expiration: Codes expire 12 months from the date of issuance

 

“Act of God” Exceptions

Cancellations within 7 days of an event are ineligible for reimbursement. NAPD may make exceptions for “Acts of God”—defined as unforeseeable, extraordinary events outside of human control (e.g., natural disasters, sudden severe medical emergencies, or government-mandated travel bans). In these instances, NAPD may, at its discretion, issue a coupon code for a portion of the registration fee upon receipt of supporting documentation.

Substitutions

To avoid the loss of funds, NAPD encourages members to transfer their registration to a colleague. Substitutions are free of charge and must be requested at least 48 hours prior to the event. The substitute must meet all NAPD membership eligibility requirements.
